System Integration for Tourism & Local Government

System Integration for
Tourism & Local Government

The video gets watched and the activity bookings still arrive by phone and email. We connect the booking system, LINE and ad measurement, and put the landing layer in order.

Numbers

Booking happens on a phone. Bookings from video rose 3.7x in six months, and one DMO in three can track spend

Issues

Three things that actually get stuck in a tourism association's landing layer

01

Bookings still come by phone and email

With only a phone number and an email address on the tourism site, nobody can book there and then. Enquiries at night or on closing days simply vanish.

The fixWe install a booking system and a path from LINE, so bookings arriving at night get caught too.

02

LINE doesn't connect to bookings

Followers grow, the rich menu doesn't lead to a booking, and there is no way to reach people again after they visit.

The fixWe send people straight from the rich menu to the booking screen, with reminders and bad-weather notices automated.

03

You can't talk about ads in bookings

No measurement on booking completion, and bookings jumping to an external system where they can't be tracked. Left like that, advertising can only be judged on impressions and clicks.

Process

From discovery through build and training to the year-end handover: how it runs

Workflow

What we ask for in advance is account details for the tools you use, and how the work runs on the ground. Two things

Phase01

Discovery and taking stock
  • Tool inventory
  • Understanding how bookings are taken
  • Sorting out the organisations involved

We identify what you use and where manual work appears.

How activity bookings are taken, who handles LINE and the tourism site, who runs the advertising. We confirm each one and write who commissions and who delivers into an organisation chart.

Phase02

Designing the paths and the systems
  • Tool selection
  • Designing the integration
  • Designing the measurement

From finding you to booking becomes one unbroken line.

Social, advertising, LINE, the booking system, the shop. We put what each handles and how the data moves into a single diagram, share it with everyone involved, and decide and propose the metrics counted as results.

Phase03

Build and configure
  • Configuring the booking system
  • Connecting LINE
  • Tracking tags

All the configuration inside the admin screens is done by us.

Listing the activity programmes, connecting the rich menu to the booking system, configuring the Meta pixel and conversions. Building the shop and listing the products too. All on our side.

Phase04

Testing and training
  • Test bookings and orders
  • Data migration
  • Operating manual and training

We confirm your team is never unsure, then go live.

We put real bookings and purchases through and confirm notifications and stock movements. Existing data migrates, then the manual gets written, at a level of detail that works when staff rotate.

Phase05

Operations, improvement and the year-end handover
  • Daily operations
  • Monthly reporting
  • Handing over access and the manuals

We keep it running after launch and hand it over at year end.

Shop updates and order handling, LINE messaging, monthly reporting on bookings and cost per booking. We run all of it, and at year end hand over admin access, the manuals and the configuration together.

FAQ

Questions we are often asked by tourism associations and local authorities

Can we keep the booking system we already use?

There is no need to change the booking system. We build around the system, LINE official account and tourism site you already use. Existing followers, bookings and customer data all stay. We don't suggest switching unless it is clearly less work.

The tourism association, the local authority and the venues all have separate accounts. Can they be brought together?

The first thing we settle is where authority and responsibility sit. Consolidating onto one booking system is an option, as is keeping the accounts and aligning only the measurement and the paths. Who commissions and who delivers goes into the organisation chart before the work is divided.

Our contract ends with the financial year. What happens to what you built?

It stays with you. The contracts for each account are in your organisation's name, which is why we ask for that. At year end we hand over a list of admin access, the operating manuals and the full measurement configuration.

We're concerned about handling personal data and payments.

We don't take custody of payments or personal data. We use the mechanisms the booking system and shop providers already offer, and what we handle is the configuration and the integration. The access we hold is limited to what is needed.

Can we ask for just the configuration, or just one area?

Just one area is fine. Only connecting LINE to the booking system, only configuring the Meta pixel, only listing the activity programmes. One-off work like that is welcome.

How is the fee decided?

The initial configuration and build is a one-off priced to the work involved, and running it is monthly. That is the basis of our quotes. Where there is a public tender specification, we cost it against those requirements and structure it to complete within the financial year.
