LINE & Reservation Integration for Salons

LINE and Booking System
Integration for Hair &
Beauty Salons

New clients arrive, but the second visit doesn't. We connect the LINE official account, the booking system and retail e-commerce, and turn repeat visits into a system.

Issues

Three things that actually get stuck in a salon's landing layer

01

You never end up with the customer

Contact details for clients who came through a booking or review site don't stay with the salon. If the second visit comes the same way, you keep paying the commission.

The fixWe make LINE sign-ups the conversion point, so the contact details of clients who visit stay with the salon.

02

LINE connects to neither bookings nor retail

Followers grow and nothing gets sent. The rich menu doesn't lead to a booking. The tools are there; they just aren't joined up.

The fixOn the booking system you already use, we build a path straight from the rich menu to the booking screen.

03

New clients come, the second visit doesn't

Once a client leaves without rebooking on the spot, there is no way left to reach them.

The fixWe send the next appointment prompt on LINE, timed to the visit cycle, and watch the rebooking rate every month.

Process

From the first conversation to going live: how it actually runs at a salon

Workflow

All we ask for is account details for the tools you use, and how things flow from reception to rebooking

Phase01

Discovery and current-state review
  • Tool inventory
  • The split between new and returning
  • Understanding what happens at checkout

It starts with the tools you have and the places work stalls.

The first things we look at are your booking system, LINE, POS and retail stock control as they stand. We ask about the split between new and returning clients, when rebooking gets asked for, and who touches LINE.

Phase02

Path and system design
  • Designing the booking path
  • Messaging timed to the visit cycle
  • Tracking design

We make finding you and coming back one continuous line.

We put what social, advertising, LINE, the booking system and the shop each handle onto a single diagram, then decide the messaging schedule by visit cycle for each service and what gets measured.

Phase03

Build and configure
  • Rich menu and integrations
  • Building the message sequences
  • Product listings and measurement tags

The work inside the admin screens is all ours.

Connecting the rich menu to the booking system, building the confirmation, reminder and next appointment sequences, listing retail products in the shop, installing measurement tags. That is the scope of the build.

Phase04

Testing, migration and training
  • Test bookings and orders
  • Migrating followers and client data
  • Manuals and training

We put real bookings through it until nothing is unclear.

We run test bookings and test purchases and check the notifications, duplicate bookings and stock movements. Existing followers and client data are migrated, then we hand over the operating manual.

Phase05

Optimization
  • Messaging and shop operations, run by us
  • Monthly reporting
  • Sync with social and ads

After launch, we keep sending and keep fixing.

We run the LINE messaging, product updates and order handling, and report rebooking and return rates monthly. What the numbers show goes back into the social media and advertising plans.

FAQ

Questions we are often asked by salons

Can we keep the booking system we already use?

Yes, unchanged. We build around SALON BOARD, Reservia, RESERVA or whatever you use. Booking and client data carry over as they are. We only suggest switching when it is clearly less work.

Do we have to drop Hot Pepper Beauty?

No. As a source of new clients, booking sites are the stronger channel, and the research says the same. Keep the listing and shift second and subsequent visits by clients you have already seen to LINE and your own booking system.

Our LINE following is growing but we send nothing. Where do we start?

In our experience, the surest start is messages that go out automatically. The path from the rich menu to a booking, the confirmation and day-before reminder, and the post-visit next appointment prompt. Those three stages add almost no work.

We're not confident our staff can learn the system.

There is almost nothing for them to learn. Setting up the rich menu, connecting the booking system, building the message sequences and installing the measurement tags are all ours, and we hand over an operating manual before launch.

We're concerned about handling client data.

That gets agreed in writing before anything runs. Who may send what, not referring to visit history or discount usage, not discussing clients from personal accounts. The rules are set down before we start.

How is the fee decided?

The initial build and configuration is a one-off priced to the work involved, and day-to-day messaging and shop operations are monthly. We quote on that combination, after hearing about your tools and how you work. There is no charge for the proposal.
