System Integration for Hotels & Ryokan

System Integration and
Direct Booking Support for Accommodation

The losses aren't happening in acquisition; they happen just before the booking. We take on channel manager configuration, LINE integration and ad measurement for accommodation.

  • Channel manager
  • Booking engines and booking systems
  • Official LINE account
  • Meta ads

Numbers

Issues

Three things that actually get stuck in an accommodation property's booking layer

01

Stock and rates are updated by hand

Every room sold means opening several admin screens. The systems exist to join them up; instead a person is doing it.

The fixWe take on the stock, rate and plan configuration and the OTA connections, and the manual work disappears.

02

Social and LINE don't reach a booking

Someone watches the video and decides to stay, then loses the feeling while hunting for the right rate plan. LINE isn't connected to the booking engine either.

The fixWe build a path straight from the rich menu to the booking engine, so nobody has to hunt for a plan.

03

You can't talk about ads in bookings

Without measurement on the official site and the booking engine, there is no telling how many bookings the ad spend added.

The fixWe install the pixel on the official site and the booking engine and measure completed bookings.

Process

From the first conversation to going live. All the configuration work is ours

Workflow

What we need is account details for the tools you use. Beyond that, tell us how the front desk works

Phase01

Discovery and current-state review
  • Confirming the tools and OTAs
  • How the front desk works
  • The booking channel mix

We identify what you use and where things get updated by hand.

The channel manager, booking engine, OTAs, LINE and ad accounts. We check the state of each and judge whether anything needs replacing or whether configuration and integration are enough.

Phase02

Path and system design
  • Tidying the rate plan structure
  • Designing the LINE and advertising integration
  • Tracking design

We make finding the property and booking it one continuous line.

We draw up and share a diagram of what social, advertising, LINE, the booking engine and the OTAs each handle and how the data moves. What gets counted as a conversion is decided and proposed here too.

Phase03

Build and configure
  • Channel manager configuration
  • OTA connections and the rich menu
  • Tracking tags

Configuring the admin screens is ours alone to handle.

Stock, rate and plan configuration and the OTA connections, syncing with the booking engine, connecting LINE to the booking system, configuring the Meta pixel. All of that we do ourselves.

Phase04

Testing, migration and training
  • Test bookings
  • Migrating existing data
  • Manuals and training

We put real bookings through before switching over.

Test bookings confirm how stock decrements, how it reflects to each OTA, how the front desk is notified and what the guest receives. Launch comes after the operating manual is handed over.

Phase05

Optimization
  • Running the LINE messaging
  • Monthly reporting
  • Sync with social and ads

After launch we keep adjusting against the direct booking share.

We run the LINE messaging and deliver monthly reporting on bookings and conversions. The paths that grew go back into the social media and advertising, so the acquisition side improves too.

FAQ

Questions we are often asked by accommodation properties

Can we keep the channel manager and booking engine we already use?

Yes. We build around what you use: TL-Lincoln, Neppan, Temairazu, Beds24, AirHost and the rest. Booking and guest data carry over. We only recommend switching when it is clearly less work.

Can we ask for just the configuration, or just one area?

Just one area is fine. Only the initial channel manager configuration and OTA connections, only the LINE and booking system integration, only the Meta pixel. We take one-off work like that.

Are you telling us to drop the OTAs?

No. In our view they stay, as the channel that supports occupancy. We put the route from social, LINE and advertising through to the booking engine on your official site in order, and grow the bookings that carry no commission.

Are we allowed to price the official site below the OTAs?

That depends on your OTA contracts. What we propose isn't moving the price but differentiating with direct-only benefits, like room selection or early check-in. Take the interpretation of the clauses to a specialist.

How long until it's live? Will it interrupt the front desk?

The schedule depends on tidying the rate plan structure and whether data needs migrating. Configuration and integration alone takes from a few weeks; beyond that we plan to the scope. The admin work happens on our side, and trading is never interrupted.

How is the fee decided?

The initial configuration and build is a one-off priced to the work involved, and running it is monthly. Proposals are free; we put it together after hearing about your tools and how you work.
